🕯 Sosoraso’s Working Terms & Process 

𓇼 Every piece I make is hand-drawn, ornate, and full of care. This isn’t fast art - it’s storytelling built by hand.
To create these slow, detailed illustrations, I pour in hours of energy, devotion, and imagination.

This guide is for all clients before we begin. It protects us both. It protects the art.

☽ I. What You Must Share Before We Begin

Please be detailed, clear, and emotionally honest. The more you share now, the more accurate and powerful your illustration will be. I need:

✧ Character Art:

  • A clear character description (appearance, personality, physical traits, vibe)
  • Outfit details - fabric, cut, texture, mood
  • The energy or emotion to capture
  • Reference images if you have any (moodboards, Pinterest, etc.)
  • Props, weapons, companions - list all
  • Do you need a frame style? (Baroque, Art Nouveau, symbolic, Gothic. Medieval botanical)
  • Black & white or coloured?
  • Will it be personal use or commercial? (Merch? Prints? Book cover?)

✧ Book Covers:

  • Is this for ebook, print, or both?
  • Title, author name, subtitle/blurb if I’m lettering it
  • Do you need characters or just ornate decorative work?
  • Aesthetic/mood (lush, haunting, ethereal, romantic, etc.)
  • Reference samples from my work or others

✧ Interiors (endpapers, headers, etc.):

  • Which elements you want (headers, page dividers, chapter icons, etc.)
  • Overall vibe (antique, manuscript, dreamy, gothic, soft, minimal, etc.)
  • Story elements or personal symbols to include
  • Will this be for print or ebook?

𓇬 What You’re Paying For:

✔ High rendering & custom illustration
✔ Ornate borders (my signature style)
✔ Thoughtful edits - not infinite revisions
✔ Commercial rights (if purchased)
✔ My time, health, and care

☽ Booking fee

This is how I protect both your commitment and my energy — so we can create something beautiful, safely and clearly, together.

✦ 𓇼 Slot Booking – €50
• This secures your place in my calendar
• It’s non-refundable and deducted from the rest of the fee
• It tells me you’re ready to begin this journey

✦ 𓆸 Project Start – 50% Instalment
• Once your slot is booked, the first 50% of the total project is due before I begin
• This covers the sketching, early development, and energy that goes into shaping your vision
• It’s also non-refundable once paid

✦ 𓍯 Final Payment – Before Delivery
• The final 50% is due before I send the finished files (without watermark)
• I’ll share watermarked previews before this to make sure you’re happy and we’re aligned

𓇽 Instalment Plans 

𐙚 For projects under €500:
 ☼ No instalment plans available
 ☼ 50% deposit to begin, 50% balance before final files are delivered

𐙚 For projects over €500:
 ☼ You may choose more than 2 instalments (3 or 4 total)
 ☼ Instalment dates must be agreed upon in advance and honoured
 ☼ Work continues only after each payment is received

✦ 𓆸 Completion
• Final artwork will only be shared without watermark once the full balance is complete
• Payment is part of the creative container - it allows me to pour my energy, time, and spirit into your piece

𖦹⋆ All payments must be made in full.

Please ensure that payment platforms (e.g., PayPal) do not deduct fees from the agreed-upon amount. I kindly ask that any transfer or PayPal fees be added on your side so that I receive the full fee we’ve agreed.

Alternate Versions Must Be Pre-Booked

If you'd like to explore multiple versions (e.g. "Can I see two color palettes?" or "Show me three background options so I can choose"), this must be agreed upon before the project begins and will be priced accordingly.

These are not revisions, they are concept development and fall under premium or bundle services.

Once we’ve set a direction during the sketch phase, the piece flows forward in one path. Requests for mid-stage visual alternatives or redirection after coloring begins are not included and will be charged as separate services.

Creative Process & Art Direction

When you commission me, you’re inviting me to bring your story to life through my unique artistic voice and vision. Your ideas, references, and wishes are the seeds I tend with care and intuition. You don’t need to have every detail figured out from the start. Once we decide on a direction, I ask you to trust me to follow through.

Because each piece is hand-drawn with devotion, my work is not a production line but a sacred storytelling process. This means I do not work under constant instruction or micro-manage revisions. Instead, I collaborate with clear communication, kindness, and respect for both your story and my artistic integrity.

Representation & Symbolism

As a queer, chronically ill, disabled, neurodivergent, and mixed-race artist, authentic representation is deeply personal to me. Visual storytelling that honors identity requires depth, care, and sincerity.

If your project includes symbolic or identity-based elements - such as pride colors, cultural motifs, or disability references. I ask that these be rooted in genuine character development and narrative intent, not used merely as decorative or marketing features.

Requests that feel tokenistic, performative, or extractive may be gently redirected or declined to maintain the respect and integrity of the work. This helps ensure every piece I create reflects care and reverence for the identities it represents.

✧ II. Feedback: A Guide for Clear & Kind Collaboration

You’re commissioning me for my artistic storytelling. This is not AI, not production-line illustration. It's human. It’s sacred. Let’s protect it.

Here’s what works:

  • “Can we make her hand more open? I want her to feel vulnerable.”
  • “Could we switch the border to something more botanical than geometric?”
  • “His expression is too angry - can we soften it to weary, like someone who’s survived something?”

What doesn’t help:

  • “Something feels off but I’m not sure what…”
  • “It’s perfect but also can you change 5 things?”
  • “Can I see 3 versions to decide?”
  • Vague praise-sandwiching followed by long revision lists

❦ Clarity is Sacred

I work in high rendering, and each piece is layered by hand. For this reason:

  • Color & Style Requests should be discussed during the sketch phase. Once I’ve begun rendering, a full recolor may require a separate slot or additional timeline and fee.
  • Vague feedback such as “can it feel more vivid” or “looks like watercolor” must be followed by a clear description or visual reference.
    e.g. “More saturation on the cloak,” or “match the red in [Character X]’s coat.”

❈ III. Revision Terms

☽ What counts as a revision:

Each of the following is considered one revision:

  • Changing pose, clothing, or facial expression
  • Adding/removing elements (tattoos, objects, props)
  • Adjusting colors, light source, border motif
  • Swapping details you previously approved

Please gather all feedback for a stage in one clear message. Piecemeal revisions across multiple messages will still count as individual changes.

⚠ Important:

  • Asking for “one small fix” over multiple emails will be counted as separate revisions
  • Pose, body, outfit changes cannot be made after line art stage
  • After revision limit, each change is +€30–100 depending on complexity
  • If you need to choose between versions (like “show me 3 border ideas”) this is a paid option, not a revision

💌 Please Know:

  • I’m a disabled artist - my process takes time and care.
  • Major changes (like pose shifts, recolours, or border redesigns) require add-on fees.
  • “Just a little adjustment” often means an hour+ of work. Please be clear.
  • Feedback like “something feels off” or “can you make it feel different” is too vague - kindly be direct and respectful.
  • Softness, not vagueness: kind honesty helps me help you.

𓋼𓍊 Common Revision Fees:

  • Minor tweaks (color, glow, expression) within limits = Free
  • Additional rounds (beyond what’s included) = €30–50+
  • Full recolour of character elements = €50–100
  • Border/background changes = priced per complexity
  • Drastic changes (pose, theme, redo) = Not permitted after linework stage

Contract/Terms Clause:

Use and Licensing

  • The base fee includes a personal use license that permits social media sharing for personal, non-commercial enjoyment and personal printing only.
  • Social media marketing, promotional posts, paid advertisements, or any commercial use require a separate commercial license, which must be agreed upon and paid for before such use.
  • Clients agree to notify the artist before using the artwork beyond personal use so appropriate licensing can be arranged.

🕊 VI. Things That Void the Collaboration

Please don’t:

  • Disappear for more than 10 days without warning
  • Ask for free changes after approval
  • Reject finished work based on a change you never requested
  • Treat me like a machine, not a collaborator
  • Approving then changing your mind
  • Asking for “one more tiny change” again and again
  • Feedback like: “This is amazing, I love it, but can you redo the face?”

If revisions become endless, timelines are pushed past reason, or the collaboration becomes emotionally unsafe, I will pause or cancel the project.
The deposit remains non-refundable, it has already paid for time, effort, and energy.

🕯 VII. Rescheduling & Booking Policy 

You may reschedule your project start date up to 2 times. Please be sure to let me know at least 20 days before we are to begin.
After that, your reserved slot is considered exhausted.

  • If you wish to continue the project later, it will be treated as a new booking, with a new €50 non-refundable booking fee required to reserve your new slot.
  • The original booking fee is forfeited, as all slot reservations are non-refundable.
  • This ensures fairness, each slot is protected time I commit solely to you. Repeated changes impact other clients and my ability to plan around my chronic illness.
